This document serves as the formal legal disclosure and binding terms for all stakeholders, including attendees, speakers, and partners.

The Summit is organised and controlled by inXso, based in Tampere, Finland. The event is delivered in strategic collaboration with a network of industry partners, each contributing to the Summit’s mission of accelerating scientific breakthroughs toward global patient impact.

The Summit operates under the jurisdiction of the Republic of Finland. All interactions, contracts, and data processing activities are governed by Finnish law and the relevant European Union mandates, including the General Data Protection Regulation (GDPR) and the Finnish Data Protection Act (Tietosuojalaki 1050/2018).

3. Data Protection and Privacy Framework

As the primary Data Controller, inXso ensures that all personal data collected through registration, networking platforms, or the Summit website is processed transparently and securely.

3.1 Lawful Basis for Processing

Processing activities are conducted under the following GDPR Article 6 bases:

  • Contractual Necessity: Identity and contact details required to provide ticketing and Summit access.

  • Explicit Consent: Opt-in subscriptions to newsletters, inclusion in the matchmaking app, and sharing details via lead scanning.

  • Legitimate Interest: General event security and non-identifying crowd photography for archival and promotional use.

3.2 Special Categories and Retention

Information regarding dietary requirements (which may reveal health or religious data) is processed with explicit consent solely for attendee safety. In accordance with Finnish regulatory standards, data collected for the 2026 Summit will be deleted or anonymised three years after the event’s conclusion, unless required longer for tax or legal purposes.

4. Terms of Registration and Participation

By completing the registration process, the participant enters into a legally binding contract with the organiser.

4.2 Cancellation and Refund Policy

All cancellation requests must be submitted in writing to hello@mti25.com. The following schedule applies :

  • 90+ days before 16 March 2026: 25% cancellation fee.

  • 30 to 89 days before the event: 50% cancellation fee.

  • Less than 30 days before the event: No refunds issued.

4.3 No-Show Fee for Complimentary Passes

Confirming a complimentary pass (Investor or Media) represents a reserved logistical seat. Failure to attend without at least 48 hours’ notice will result in a €250 No-Show Fee to cover administrative and catering costs.

4.4 Substitutions

Substitutions from the same organisation are permitted if requested at least 7 days prior to the event. The original registrant must not have used any portion of the pass.

5. Intellectual Property (IP) and Innovation Governance

In the MedTech sector, IP is the primary driver of value. The Summit framework protects the ownership rights of innovators while facilitating essential dialogue.

5.1 Ownership and Licencing

All intellectual property in presentations and pitch decks remains the property of the owner. By presenting, the participant grants the organiser a non-exclusive, worldwide, royalty-free licence to record the session and distribute materials for promotional and educational dissemination.

5.2 Helsinki Pitching Competition ’26

Participation is a formal legal process with a potential investment prize of up to €300,000, explicitly subject to due diligence.

  • Initial Application Deadline: 27 February 2026.

  • Full Package Deadline: 6 March 2026.

  • Eligibility: Minimum Technology Readiness Level (TRL) of 5 (technology validated in a relevant environment).

6. Professional Conduct and Safety

The Summit is committed to a 100% inclusive experience. All participants must adhere to a Code of Conduct that prohibits harassment, discrimination, or bullying. Misconduct is grounds for immediate removal from the venue without a refund.

6.1 Media and Photography

The event is documented through photography and video. Attendees are notified of filming via signage at the Helsinki venue entrance. Participants may opt-out of identifiable promotional close-ups by notifying staff upon arrival.

7. Liability, Disclaimers, and Force Majeure

To the maximum extent permitted by Finnish law, inXso and its partners disclaim liability for indirect or consequential losses resulting from reliance on Summit information or disruptions at the venue. The organiser’s total liability is limited to the registration fee paid by the participant.

7.1 Force Majeure

Performance of obligations may be excused in the event of extraordinary circumstances beyond the parties’ control, including acts of God, pandemics, or infrastructure failure. Under the Finnish Sale of Goods Act, any party claiming force majeure must notify the counterparty without delay.
